Asset management connects ownership, condition, work and cost
An asset platform should identify what the organization owns or is responsible for, where it is, who uses it, its condition, the maintenance performed and the cost or risk associated with keeping it available. A list of equipment without work history is not enterprise asset management.
Engineering, operations, finance, procurement, safety, legal and environmental professionals must approve maintenance methods, inspection obligations, capitalization, depreciation, disposal and safety rules. Software schedules and records approved work; it does not determine that an asset is safe to operate.
Asset register, hierarchy and functional location
- Stable asset identifier, class, model, serial and important specifications
- Parent-child equipment structures and approved components
- Site, building, room, line, vehicle or other functional location
- Owner, custodian, operator, department, project and cost centre
- Commissioning, warranty, supplier, documents and criticality

The design should distinguish physical assets, inventory items and financial fixed-asset records while linking them where responsibilities require it.
Acquisition, commissioning and handover
Procurement receipt, inspection, acceptance, installation, commissioning, document handover and warranty start can feed the asset record. Technical acceptance and financial capitalization may occur at different controlled points and need separate approval evidence.
Maintenance requests and work orders
Users can submit a request with asset, symptom, priority, location and evidence. Authorized teams review, classify and convert accepted requests into planned work orders. Each work order can define job type, instructions, hazards or permits where applicable, schedule, responsible people, expected parts and completion evidence.
Preventive, corrective and condition-based work
Maintenance plans may use calendar, meter, inspection, condition or event triggers. Corrective work records failure, diagnosis, repair, test and return to service. Trigger rules and technical instructions require qualified approval and periodic review.
Planning, scheduling and execution
Planners can consider asset availability, production or service windows, worker skills, contractor access, tools, parts, dependencies and downtime. Technicians record time, tasks, readings, findings, parts, photos or documents and completion status. Closure should require the agreed technical review rather than only a completed checkbox.
Spare parts, procurement and cost
Work orders can reserve and consume approved inventory, request unavailable parts and connect supplier or contractor services. Labour, parts, external services and downtime estimates can be attributed to asset, location or work type. Finance controls the accounting, capitalization and expense treatment.
Inspection, meters and failure history
Inspection forms and meter readings can create follow-up requests when configured thresholds are crossed. Failure codes, causes, remedies and repeated work support reliability review, but automated recommendations remain dependent on complete and accurate maintenance evidence.
Transfer, custody, retirement and disposal
Movement should record from and to location, custodian, condition, date and acceptance. Retirement may require technical confirmation, financial review, data removal, environmental or legal checks and approved sale, transfer, donation, recycling or disposal evidence.
Mobile work, security and continuity
Mobile or offline work can be considered for field teams after device identity, cached data, conflict handling, secure synchronization and loss response are defined. Permissions should separate asset administration, request, planning, execution, verification, inventory issue, financial access and disposal.
Implementation and reporting
Implementation starts with an asset inventory, taxonomy, location model, criticality, maintenance strategy, roles, stores, accounting links and reports. Migration should validate identifiers, duplicates, active locations, open work, meter history and supporting documents. Reporting can cover due work, backlog, downtime, failures, cost, parts, compliance status and lifecycle decisions without implying safety certification.
