Start with the workflow, not the feature list
Write down who uses the system, what each person records, which approvals are required, what management must see and which external systems exchange data. A long feature list is not useful if the software cannot represent the actual workflow.
Define the controls that cannot be optional
- Roles and permissions for sensitive actions.
- Approval rules for payments, purchases or operational decisions.
- Audit history for important changes.
- Reliable backups and a documented restore process.
- Reports that reconcile with the underlying records.
Confirm localization before signing
If the organization needs English, Dari or Pashto, verify the actual interface. Also define currency handling, date formats, right-to-left behavior, branch structure and the documents users need to print or export.
Choose deployment based on operating reality
Cloud, desktop, offline-first and hybrid systems solve different problems. Identify which tasks must continue during connectivity loss, how many branches need shared data and who owns backups and updates.
Compare proposals on the same scope
Give shortlisted vendors the same requirements and ask for modules, implementation stages, deployment, migration, training, support and exclusions. This makes the comparison more meaningful than headline price alone.
