CRM should preserve one accountable customer relationship
A useful CRM connects the people and organizations an enterprise serves with enquiries, activities, opportunities, proposals, orders, delivery handovers and support history. It should reduce duplicate and private records without turning every interaction into uncontrolled marketing.
Authorized sales, service, legal, privacy and management owners must approve qualification, pricing, communication, retention, complaint and service policies. Software applies those decisions; it does not determine customer consent, commercial authority or contract entitlement independently.
Customer, contact and relationship records

Leads can record source, need, responsible salesperson, activities and qualification evidence. A qualified lead may become an account, contact and opportunity according to approved rules. Disqualification should preserve the reason and history instead of deleting useful evidence.
Opportunities may track stakeholders, requirements, products or services, expected value, probability, stage, decision date, competitors, risks and next actions. Forecasts are management estimates, not guaranteed revenue.
Proposal, quotation, approval and handover
The workflow can prepare versioned proposals or quotations, route discounts and terms for approval, record acceptance and connect an order or project handover. Price lists, taxes, currencies, validity, exceptions and contracting authority require approved owners. Won work should transfer requirements and commitments without forcing delivery teams to reconstruct the sale.
Customer service cases and queues
Cases can record channel, customer, product or service, category, priority, description, evidence, responsible queue, assignment, action, escalation, resolution and closure. Queues organize work but do not replace record-level security. Sensitive complaints may require restricted routing.
Service commitments and escalation
Configured service terms can measure acknowledgement, response, restoration, update or resolution targets where the agreement defines them. Pauses, business hours, dependencies, exclusions and breach escalation must be explicit. An SLA timer records the agreed process; it does not guarantee an outcome.
Knowledge and consistent resolution
Approved knowledge articles, scripts, templates and known-error guidance can help teams respond consistently. Content needs authorship, review, version, audience and expiry controls. Representatives should be able to deviate when a case requires professional judgment and record why.
Privacy, security and communication
Access should follow territories, teams, relationship roles and case sensitivity. Bulk messages, exports, integrations and automated scoring need purpose, permission, suppression and audit controls. Personal information should be minimized and retained only for the approved business or legal purpose.
Integration, migration and reporting
CRM may integrate with websites, email, telephony, messaging, ERP, accounting, inventory, project delivery or support tools after identity, permissions, failure handling and reconciliation are defined. Migration should deduplicate customers, map owners and status, preserve important history and exclude unjustified legacy fields.
Reports can cover lead sources, conversion, pipeline, activity, quotation outcomes, sales cycle, case backlog, response, resolution, escalation, satisfaction and retention indicators. Definitions and data limitations must remain visible.
